Pre-Order Process

NOTE: Textbook Pre-Orders is a licensed feature. If you are interested in acquiring a license, please contact RBS.

 

Textbook pre-orders allows a student to select courses from a list or by manual entry, and check out through the normal checkout flow. All pre-orders are viewable in the eRATEX Admin and will be converted to internet orders when certain preferences are met. Each step in the pre-order process is described below, from the setup requirements to the pre-order conversion to internet orders.

 

Configuring Pre-Orders

  1. In eRATEX Admin, click eRATEX > Textbook Pre-Orders > Pre-Order Configuration.
  2. In Pre-Order Term, select the term students may pre-order course materials for.
  3. In Pre-Order Start Date, enter the first day students may pre-order course materials.
  4. In Pre-Order End Date, select the last day students may pre-order textbooks. After this date, pre-orders for the selected term will not be available.
  5. In Pre-Order Product ID, enter the pre-order product. If you have not created a pre-order product, see the procedure below.
  6. In Department Display Format, type a regular expression to represent the department code for the pre-order.
  7. In Course Display Format, type a regular expression to represent the course number.
  8. In Section Display Format, type a regular expression to represent the section number.
  9. In Pre-Order Substitution Behavior, select the appropriate option for how substitutions work for pre-orders. Options include:
    • Allow Customer Selection: students can rank the conditions of course materials they desire.
    • Always Substitute: students select their preferred ​condition for course materials, but you can substitute other conditions for the student-selected condition.
    • Never Substitute: students select the condition of the course materials they are sent, and substitutions are not allowed.​
  10. In Default Material Ranking, type the order to put course materials by condition (e.g. New, Used, eBook).
  11. In Include Conversion Order Note on Receipt, select Yes.
  12. In Send Receipt Email, Select Yes.
  13. In Pre-Order Conversion Auto-Run...

 

Pre-Order Statuses

Status
 Description
Ready to Convert
Student's pre-order materials (and condition--new, used, and so on) are available and ready to pick and ship
Pending

Pre-order statuses display here, in the following colors:

  • Green: Course request has been uploaded and inventory is on hand for requested ranking/choice of book conditions
  • Yellow: Course has been uploaded, but one or more books are not available for the student's ranking/choice of book conditions
  • Red: Course has not been uploaded to eRATEX​
Closed Order has been converted to an internet order
Canceled Order has been canceled either by student's choice, or an eRATEX administrator cancels the order

Converting Pre-Orders

Ready to convert pre-orders can be converted to internet orders at any time:

  1. Click Configuration > eRATEX > Textbook Pre-Orders > Pre-Order Queue.
  2. In Convert, either:
  • Select the pre-orders to convert and click Convert Selected.

    Or

  • To convert all eligible pre-orders, click Convert ALL

Note: If eRATEX > Textbook Pre-Orders > Pre-Order configuration > Pre-Order Conversion Auto-Run is configured, all pre-orders are converted as soon as they become eligible for conversion.

 

Pending pre-orders can be converted as well, but use this with caution, as all ordered materials may not be available when converted.

 

Can convert partially ready orders--leave yellow and red outstanding. MM--revise.

 

​Pre-Order Customer Emails

When a pre-order converts to an internet order, the customer receives a pre-order update email saying their pre-order has been updated. The email contains the courses, books, prices, and internet order number. This is in addition to the eRATEX receipt email sent to the customer.

 

If additional course material(s) are added to the course after the pre-order converts, the customer receives an alert email. This email has a link to the course material added so they can directly purchase it.

Canceling Pre-Orders

  1. Click Configuration > eRATEX > Textbook Pre-Orders > Pre-Order Queue.
  2. In Pre-Order Search, enter search terms to find the pre-order (pre-order number, customer last name, customer email or course-department-section).
  3. Click Cancel.
  4. When prompted, click OK.
