Maintaining Campuses and Terms

 

Procedures

Terms are maintained in eRATEX Admin > Configuration > eRATEX > Modify Terms.

 

Campuses are maintained in eRATEX Admin > Configuration > eRATEX > Modify Campuses.

Creating Terms

  1. In eRATEX Admin > Configuration > eRATEX > Modify Terms, click Add New Term.
  2. In VR Term Code, type the VR term code.
  3. In Term Name, type the term name that will be used for the term in eRATEX.
  4. In Term Status, select the appropriate term status, as appropriate. See Term Statuses below.
  5. In Rental Agreement Topic, select the topic page the rental agreement is on. See Topics for information about creating Topics.
  6. In Rental Return Date, enter the date the student must return rentals.
  7. In University Term Code, enter the term code your university uses for the term, if appropriate.
  8. In Display Order, enter the ordinal position of the term (e.g. 1 for first term to display).
  9. Click Submit.

Term Statuses

Current Displays this term in the Courselist Builder, and allows students to order course materials
Working For your record keeping only, does not display this term in Courselist Builder
Prior For your record keeping only, does not display this term in Courselist Builder
Can Adopt
For your record keeping only, does not display this term in Courselist Builder
Hidden Does not display this term in Courselist Builder
Display Displays this term in Courselist Builder, but does not allow students to order course materials

Setting Terms to Current

  1. Click Configuration > eRATEX > Modify Terms.
  2. Select the term by clicking Edit.
  3. In Term Status select Current.
  4. Click Update.

Creating Rental Agreements

In eRATEX, rental agreements are topic pages. See Topics for instructions for creating and maintaining topic pages.

Purging and Deleting Terms, Courses, and Textbooks

Note: Delete only displays if the term is hidden. Change to hidden before removing term information.​

  1. Click Configuration > eRATEX > Modify Terms.
  2. Select the term by clicking Delete.

(De)Activating Campuses

  1. In eRATEX Admin, click Configuration > eRATEX > Modify Campuses.
  2. Beside the campus you want to modify, click Edit.
  3. Either:
    • Select Published to activate it
    • Deselect Publish to hide it
  4. Click Update.
